Role: Receptionist

Hours: Full Time (6-month Maternity Leave Cover) 8 am- 5 pm

Salary: £26,000

Role Overview:

Looking for a role where no two days are the same? Support our mission of creating the most sought after, talent friendly place for film, tv and virtual productions! We are looking for a confident, calm and friendly receptionist to be the face of our new film studios. Operating a busy front of house, you’ll be used to the demands of ever-changing client needs, unphased by high profile talent and able to maintain calm under pressure. You’ll be used to solving issues, working flexibly and escalating issues as and when they arise. You’re a doer and like to get stuck in, whether helping a client navigate a parking issue, doing a supply order or supporting our internal team with any administrative or event based tasks. The ideal candidate is fluid, flexible and adaptable! As this role is predominantly client facing, you will be an important representative of Garden Studios and must have a passion for the provision of excellent client service.

Essential Skills:

  • You have brilliant customer service skills and can prove excellent IT skills (word, excel etc.)
  • You can communicate clearly and effectively.
  • You are organised and know how to prioritise your workload.
  • You have strong attention to detail.
  • You can demonstrate a hard-working attitude and are motivated to do the best job possible with a proactive approach to tasks.
  • You are honest and able to admit and take ownership of your mistakes and know when to ask for help.
  • You are punctual, well-groomed and present well to clients/staff.
  • You can contribute to a diverse team and show respect in all working relationships.
  • You are flexible and can use your initiative with the ability to prioritise in a complex, fast-paced environment that will present many distractions.

Desirable Skills and Experience:

  • You have at least 1 years’ experience in a busy client facing, customer service, PA, or front of house role.
  • You have an interest or experience in TV/Film/Production/Creative industries.
  • You are able and willing to learn about the core business of the film studio.
  • You have experience in delivering or implementing sustainability processes in the work place.
  • You can demonstrate how you can embody/support the Garden Studios core values.

Specific Responsibilities:

  • Operating a busy switchboard, screening and transferring calls.  
  • Managing the studios general enquiries account and redirect to the appropriate person.  
  • Greeting clients upon first arrival to studios, ensuring customer service experience remains proficient and professional.  
  • Ensuring all clients adhere to signing in procedures, and that the required security and ID passes are issued, including monitoring of our access control system Net2.  
  • Ensuring the correct levels of access passes are provided for visitors, staff members and contractors, including owning communication between security.  
  • Supporting the Client Services Manager with the management of a busy day to day car park.
  • Responsible for the management and distribution of the Daily Memo sheet which should detail information on studio bookings and important information for staff and security; reporting any conflicts or daily issues that might occur for individual sessions.
  • Managing all incoming and outgoing post, including distribution of company mail.
  • Assisting with, when necessary, the ordering of office supplies; hardware, software, stationary and groceries for the complex.  
  • Maintaining the incident report book, liaising with the Facilities Manager to record any accidents or issues.  
  • Supporting fellow Gardeners with administrative duties when required (scheduling meetings, preparing meeting rooms, data & research administration, travel).
  • Assisting in the setup of company and social events (company Christmas parties, community events etc.)
  • Scanning all mail and sending to the finance team.
